Setup & timing

Lead time, sender domains, and the deadlines that matter.

How far in advance do we need to book?

We need at least three weeks before the show to do the setup properly. Email warmup alone needs three weeks to be effective. If you book closer to the show we can still help, but the setup will be partial.

What if we already have a sender domain we use for email?

We can use a domain with a healthy email history. If the history is poor, we may suggest a new sender. This helps protect your email from spam filters.

How long does the kiosk take to set up on the day?

Plug in power and internet, then scan one code. The kiosk opens with your logo and content. This takes less than ten minutes.

Do we need our own internet?

The booth wifi at Crocus Expo works. We also bring a 4G backup that activates automatically if the venue wifi goes down. You will not lose service mid-show.

What if our team only finalises the catalogue a week before the show?

We accept catalogue updates right up to the day before the show opens. The kiosk learns new products in minutes, not hours.
Hardware & logistics in Moscow

Shipping, customs, what the kiosk looks like, what happens if it breaks.

Where does the hardware ship from?

It comes from our shipping partner in Moscow. We set up the kiosk and tablet with your logo first. The devices reach your Crocus Expo booth during show setup.

Do we have to handle customs?

No. Hardware is shipped under the show's exhibitor exemption. We handle the paperwork.

What does the kiosk look like?

A vertical screen on a slim metal stand, about head-height, branded with your logo. About the same footprint as a tall display panel.

Can it sit on a counter instead of standing on the floor?

Yes. Tabletop and wall-mounted variants are available, depending on your booth design. We confirm the form factor on the first call.

What happens if the kiosk fails during the show?

Every order ships with a backup tablet that runs the same software. If something goes wrong, switching takes thirty seconds. Our support team is reachable on WhatsApp throughout the show.

Do we keep the hardware after the show?

If you have a multi-show contract, the hardware stays with us for the next deployment. If it is a single-show package, we collect it the evening the show ends.
Languages & content

Which languages, how it sounds, what it knows.

Which languages does the kiosk speak?

Russian, Kazakh, Uzbek, English, Mandarin, Turkish, Belarusian, Armenian, German, Italian. Others on request before the show.

Does it switch languages mid-conversation?

Yes. If a buyer starts in English and shifts to Mandarin halfway through, the kiosk follows. No menu-tap, no delay.

Is the voice native or machine-translated?

Native voice synthesis. Each language has its own voice that sounds like a fluent speaker, not a robotic English voice translating.

Can we add a language later if we see unexpected buyers?

Yes. We can activate an additional language during the show if a new buyer profile shows up. Usually within a few hours.

Will it answer questions about products it does not know?

It only uses the product sheets you provide. If a fact is missing, it says the team must check. It also alerts your sales rep on the staff tablet.
During the show

Where your team fits in, when the kiosk hands over.

Does our team still need to be at the booth?

Yes. The kiosk handles first conversations and qualifies buyers, but the actual deal-making is done by your team. Think of the kiosk as the first member of your team that never sleeps.

How do we know when a serious buyer needs a human?

Your team carries the staff tablet. When the kiosk identifies a high-priority lead, the tablet vibrates and shows the buyer's profile and what they have asked.

Can our team take over a conversation the kiosk started?

Yes. The kiosk tells your rep who the buyer is and what they asked about. Your rep then continues from that point.

What if a buyer gives us a business card?

Your rep speaks into the staff tablet and shows it the card. The tablet captures it, structures the lead, and writes the notes. Faster than typing.

Can the kiosk take orders directly?

It can take quotation requests and pricing enquiries, but actual orders are done by your team. We do not touch your contracting workflow.
After the show, data, payment

Lead ownership, follow-up, billing, cancellation, PDPA.

Who owns the lead data?

You do. Every lead from your booth is yours. Export it as CSV or Excel, or connect through an API or webhook today. Native CRM connectors are planned.

How does the post-show follow-up work?

We send five touches over thirty days, each in the buyer's language. Day 1 thank-you, Day 3 catalogue, Day 7 nudge, Day 14 meeting offer, Day 30 final note. You see every email before it goes out, and approve once at the start.

Will the follow-up reach the inbox or land in spam?

We gradually prepare the sender address and monitor deliverability. That improves readiness, but no provider can guarantee inbox placement.

Can we customise the sequence?

Yes. You can edit any message, change the timing, or add a step. We provide good defaults so you do not have to start from a blank page.

How are we charged?

One price for the full show window, paid 50% on signing and 50% before show day. Bank transfer or major cards accepted. Currency in USD or THB.

Where is the data stored?

For the duration of the show, conversations and leads sit on EU servers. After the show, data can stay in the EU or move to a region of your choice. We comply with GDPR and Russian federal law 152-FZ on personal data.

What if we want to cancel?

Up to 21 days before the show, full refund minus a small admin fee. Inside 21 days, the email warmup work is done and we do not refund that part.
